SharePoint - Site Administration Training

INTRODUCTION
The Site administrator course is a three hour session that enables attendees to become site administrators for their business area. The course combines theory, demonstration and practical exercises. Attendees are first brought through a brief presentation on what SharePoint is followed by a ‘deep-dive’ in to four topics that all site administrators will need to be competent in. These are site management, list management, document management and permissions management.

AUDIENCE
Site administrator training is targeted at business users who will be responsible for one or more SharePoint sites in their business area.

PREREQUISITES
Attendees should have either attended the basic user training or be comfortable performing the following tasks: -

  • Navigating around the SharePoint environment
  • Creating new documents in libraries and being able to edit them
  • Creating list items such as new tasks, calendar events and announcements

COURSE CONTENT
The Site Administrator training course is a three hour session that will enable the attendee to do the following tasks: -

  • Introduction to SharePoint
    While it is assumed that the attendees have a basic knowledge of SharePoint, this part of the course is used to review basic SharePoint terminology and ensure that all attendees have that basic knowledge.
  • Site Management
    This part of the course introduces attendees to the concept of SharePoint sites and how they are arranged in a hierarchical structure. Site templates are introduced and the difference between workspaces and sites is discussed. Web Parts and web-part zones are also introduced. Basic governance is discussed with reference made to the importance of ensuring that sufficient information is collected prior to the creation of a new site.
    A live demonstration is then performed that shows attendees how a basic team site is set up. The attendees are then given time to do a practical exercise where they create a new site in a training environment.
  • Design and create a SharePoint list
    This list management part of the course introduces the concept that all data in SharePoint is based on SharePoint lists. Alerts and column management are introduced. The integration between SharePoint and Microsoft Office is discussed and demonstrated. A demonstration of creating a custom list to manage employee leave requests is shown.
    The attendees are given time to do a practical exercise where they create a custom list to manage invitation-to-tender vendor questions. This reinforces the principles of field types, views and web-part management.
  • Set-up a library using best practice methods
    This part of the course introduces attendees to document libraries and shows how document libraries, as just another list type, use a lot of the functionality of lists such as alerts, versioning, metadata columns, and views. Best practice around the creation of folders in libraries is discussed and the reasons why metadata is preferable to folders are demonstrated.
    Versioning types and approval workflows are introduced. A demonstration of the set-up of a document library is given and then the attendees are given time to do a practical exercise where they create a library to contain sample invitation to tender documents.
  • Understand permissions and be able to deal with permissions type queries
    This part of the course focuses on how access to content is managed in SharePoint. The inheritance model is introduced and attendees are shown how permission-levels are used to manage access to the various entities in SharePoint. Best practice around responding to requests for access is discussed.
    A demonstration of how to set up permissions is given and attendees do a practical exercise where they set up permissions for the site they created earlier in the course.
